IRIC Conference and Meeting Spaces

To schedule a conference room you must complete the request form at uidaho.edu/research/entities/iric/rooms/room-reservation. For special events, a minimum of two weeks advance notice is highly recommended. Watch this video explaining the IRIC Space Application process on YouTube.

- Research related meetings/workshops/seminars/etc.

- University business

- Graduate Student Committee meetings and examinations

- University celebrations - Must be cleared by the IRIC Facility Manager

- Student clubs/organizations - After normal business hours

- Academic classes/undergraduate research team meetings - No reoccurring/scheduled classes or meetings. One-off gathering at discretion of IRIC Facility Manager

- Student study sessions - Students can use public teaming/meeting areas that are not reserved. Small conference rooms after normal business hours at discretion of IRIC Facility Manager

IRIC is secured after 7 p.m. weekdays and on weekends. U of I faculty or staff must be present on weekends, and is highly recommended if meetings run past 7 p.m. weekdays. Any requests to have security features of IRIC modified must go through the IRIC Facility Manager.

* These capacities do not count the concrete seat steps in Atrium. Anything other than standard setup would require group renting from Event Support Services.

Furniture Configuration

IRIC Atrium can be configured according to you needs, but staff is not available to move furniture, so be sure you have adequate help to arrange the Atrium to suit your needs, and return it to its original state. Changes in furniture configuration must be approved, and coordinated with IRIC Facility Manager at least one week in advance. Note: Tables in conference rooms cannot be removed or rearranged.

Furniture beyond what is standard in IRIC must be rented through Event Support Services. But this must be approved and coordinated with the IRIC Facility Manager.

A/V Equipment

Equipment varies per room. See IRIC Building resource page to see what is available in each room or contact IRIC Facility Manager. Please note that staff support is not available during your event, and it is your responsibility to test functionality and compatibility of equipment. If you need access to a room to test equipment in advance of your event, please contact the IRIC Facility Manager at least one week in advance.

Food Service and Waste Disposal

If you plan on serving food at your event, please see APM 80.31 for policies and procedures for serving food on campus. For information about catering, visit the Vandals Dining website.

If your event is a barbecue, the IRIC barbecue guidelines are slightly different than the University of Idaho guidelines. Please contact the IRIC Facility Manager for these guidelines.

For event recycling and waste disposal contact the U of I Recycling Division by calling 208-885-1715.

Note: Do not place beverages on credenzas in IRIC conference rooms, since these house A/V electronics equipment for each room.

Permit Requirements

Review the U of I rules to see if your event requires a Use of University Facilities authorization, and complete the online request form if necessary.

If alcohol will be served at your event, complete an Alcohol Application with the University of Idaho. Alcohol is not allowed in IRIC during regular University of Idaho business hours.

Building Access

If your event will take place outside of regular building hours (7 a.m. - 7 p.m., Monday through Friday), contact the IRIC Facility Manager to arrange for door(s) to be unlocked.

Catering and Deliveries

If you will be receiving any deliveries for your event or expecting caterers, you must be present to receive them. IRIC staff is not available to receive deliveries or coordinate with any service provider on your behalf.

Clean-Up

After event, dispose of all trash and debris, wipe down all tables and white boards, and return furniture and A/V equipment to original configuration.

Damage to building facilities or inadequate clean-up may be billed to event host's department or organization.

Note: Although advice and assistance may be provided by the IRIC Facility Manager at their discretion, event organizer has final responsibility for adhering to the IRIC event guidelines and policies above.
