Format

  • Interactive learning experiences are accessed through Lifelong Learning and content is housed in the University of Idaho CAPE instance of Canvas
    • Assignments, discussion boards, quizzes and tests are created in Canvas
  • They are linked in our online catalog
  • Interactive learning modules are created in Adobe Captivate by an instructional designer and accessed through Canvas

Peer-Reviewed Course Process

  • Review the publication types to ensure you’ve selected the right series.
  • Discuss your idea with the appropriate UI Extension Priority Extension Theme (PET) to get input on factors such as need, priority, scope, and best formats.
  • Obtain Institutional Review Board (IRB) approval if applicable.

  • Complete the Online Course Proposal Form.
  • Submit the completed proposal to extensiononline@uidaho.edu.
  • The director of Extension Online Education evaluates and reviews the proposal.
  • If the peer-reviewed process is chosen, the director uploads the proposal to FastTrack and assigns a subeditor.
  • The subeditor covering the topic area evaluates the proposal and advises the corresponding author via FastTrack about whether to proceed with writing the manuscript or rethinking the idea.

  • Please start with the EMS Detailed Outline Template which can be attained by emailing us at extensiononline@uidaho.edu.
  • Secure copyright permission for any copyrighted materials before submitting to FastTrack.
  • Authors can use this template to secure permissions.

The corresponding author submits the project to FastTrack.

Manuscript Submission Guidelines:

  • Submit your manuscript to FastTrack as a new submission (not to the ID# associated with your proposal).
  • Enter author and title just as they appear in your proposal submission, if they haven’t changed.
  • Upload your manuscript as a Word file.
  • Embed all tables and figures within the file.
  • Do not use punctuation in the file names.
  • Remove all author names from the document.

  • The subeditor covering the topic area sends the manuscript to two or three qualified individuals for peer review, examines the completed reviews, and decides whether the manuscript should be accepted for publication as is, with revisions, or not at all.

  • Log in to Manuscript FastTrack and click on “My submissions.”
  • Under the “Actions” heading, click “Show review.”
  • Consider the feedback and suggested changes from each reviewer. Either incorporate changes (using the Track Changes feature in Word) or respond as to why you feel the suggested changes are not appropriate. (Submit a separate Word document containing the unacceptable reviewer suggestions and your reasons as a courtesy to the subeditor and editor.)
  • Resubmit the revised manuscript by logging in to FastTrack, clicking on the submission ID number, and, under the Actions column, click “Submit Revised Document.” This opens another window where you can upload the revised manuscript.
  • If you wish, you may “Decline to resubmit,” which closes the project.
  • The subeditor reviews the revised document and compares it with the recommendations of the peer reviewers. The subeditor makes the decision to accept or deny the revised manuscript and may discuss this further with you or require an additional review. You will be notified by FastTrack email of their decision.
  • Once the subeditor accepts the revised manuscript, you may submit the final files.

Follow these guidelines for submitting final text, graphics, and other supporting materials.

Collect final files into one folder and compress them into a zip file. Attach the compressed file to your manuscript submission. (Use "add attachment" at the bottom of the "submission summary" box.) See also the author guide for your product type.

Text

 Supply a manuscript as a Microsoft Word document (start with the template provided).

Identify all authors by name, descriptive title, and affiliation (e.g., Justin Clements, Extension Specialist, University of Idaho Department of Entomology, Plant Pathology and Nematology, Moscow).

Artwork

  • For each piece of artwork, provide the name of each artist or copyright holder.
  • Graphs and charts
    • Submit graphs and charts, each in their own file, in Excel if possible, to allow manipulation of the file (for example, to make all the figures match one another in typography, rule width, etc.).
    • Otherwise, provide graphs and charts in PDF or EPS.
  • Line art (illustrations)
    • Supply the original artwork if created on paper. For digital artwork, supply the original file type in which the graphic was created.
    • If the original application file is unavailable, submit a high-resolution TIFF or vector EPS file.
    • Submit alt text for tables, figures, and artwork in a separate Word document titled “Alt Text.” Alt Text is a brief, written description of an image to aid readers who have a visual impairment and/or have a sensory processing and/or learning disability. View Alt Text Tips under General Resources.
  • Digital and print photos
    • Supply original print images or high-resolution digital photos in TIFF, JPEG, or EPS.
    • Supply images as individual files — not within a Word document.
    • Pay attention to image resolution. We require a minimum of 250 dpi at the desired dimensions for use in printed publications (assume 3 by 5 inches unless the art is expected to run larger, as on the cover. Files bigger than 1 MB are usually okay.
    • Submit alt text for tables, figures, and artwork in a separate Word document titled “Alt Text.” Alt Text is a brief, written description of an image to aid readers who have a visual impairment and/or have a sensory processing and/or learning disability. Permissions

  • Supply written permission to use any copyrighted material.
  • No permission is required to quote from works produced by the US government, but permission normally is required to quote from works by state agencies, including other land-grant universities.
  • Provide any specific wording required in the credit line.

  • An instructional media designer will be assigned to your project for media element design (videos, interactive modules, pdfs, etc.)
  • If you have an expedited timeline, Extension Publishing can hire a freelance designer using funds you provide or apply for through us.
  • We will send proofs of the media elements to the corresponding author for review. It is up to the corresponding author to share this material with coauthors.

  • Complete and submit the UI Extension Online MC LL Course Creation Form.
  • Your course listing will be created in the online course catalog in Modern Campus Lifelong Learning. This autogenerates the corresponding Canvas course space.
  • An instructional media designer will add the media elements and create any quizzes or assignments in the Canvas course space.
  • We will notify the corresponding author to review the space. It is up to the corresponding author to notify coauthors that the material is ready for review. All instructors should be able to view the course space.

  • It is our policy to request a content review of active courses every year to ensure the content’s accuracy and currency.
  • If we do not receive a response, we remove the course from our online course catalog because we can’t ensure the accuracy of the content.

Online Course Process (Bypass Peer Review)

  • Review the publication types to ensure you’ve selected the right series.
  • Discuss your idea with the appropriate UI Extension Priority Extension Theme (PET) to get input on factors such as need, priority, scope, and the best formats.
  • Obtain Institutional Review Board (IRB) approval if applicable.

  • This may include gathering lectures and videos, writing text, creating quizzes, etc.
  • Secure copyright permission for any copyrighted materials before submitting them to FastTrack.
  • Authors can use this template to secure permissions.

  • Instructors have the option of designing the course Canvas space themselves or utilizing the services of the department’s design team.
  • If instructors want to build it themselves,
    • a sandbox Canvas space will be created for them to design in;
    • the Extension Online Education Director and a senior faculty member reviews the course design; and
    • CALS Communications and Marketing reviews the branding.
  • If instructors would like the department’s design team to build the course, please see steps 7 and 8 in the peer-reviewed list above.

  • Complete and submit the UI Extension Online MC LL Course Creation Form.
  • Your course listing will be created in the online course catalog in Modern Campus Lifelong Learning. This autogenerates the corresponding Canvas course space.
  • An instructional media designer copies the course content from the sandbox to the official Canvas course space.
  • We notify the corresponding author to review the space. It is up to the corresponding author to notify coauthors that the material is ready for review. All instructors should be able to view the course space.

  • It is our policy to request a content review of active courses every year to ensure the content’s accuracy and currency.
  • If we do not receive a response, we remove the course from our online course catalog because we can’t ensure the accuracy of the content.
