View Rosters and Email Students
Class rosters display the students who are currently enrolled in your class and updated immediately as registration changes are made. These class lists can also be downloaded to an Excel spreadsheet for personal use. Instructors may also obtain email addresses for all students in one or more of their classes to use for sending notifications and information through their own email accounts
How to View a Class Roster
- Go to Class List
- Select a term from drop-down menu
- Open the Class List view by clicking the subject and section in the left column
To select another class to view, use your browser's back arrow (same semester) or select CRN Listing to return to the term drop-down menu.
How to Download Class Roster to Excel
From the Class List view:
- Select Export from the upper-right, next to Print
- Select either Excel format
- Click Export
- Use the file dialog to name and save the file
Each student's name, ID, registration status, level, credit hours, midterm and final grades and class standing are included on the spreadsheet.
How to Email All Students
From the Class List view:
- To select all students in the sections, check the box in the header row; check or uncheck boxes next to students' names to select a subset of students
- Select the envelope icon. If your U of I Outlook account does not open, follow the directions to activate your default email program
- When the email opens, it is prefilled with the students' addresses
- Before sending your email, copy the addresses and paste them into a notepad file and save for future reference in a secure location
- To email multiple sections at once, paste the address from the notepad files into the BCC line of the email; this prevents students from seeing others' email addresses; make certain there are semicolons between each address
- Although the To line does not require an email address to send the message, you may opt to send a copy to yourself for reference by entering your own email address
Multiple courses can be emailed at once by repeating the process of copying and pasting at the end of the first string. Attachments can be added as part of the message through the normal procedure for your email program.
